Team roles

What admins, editors and members can do in a Voicegram workspace, how to invite someone with a role, and which emails each role receives.

On this page

Everyone in a Voicegram workspace has one of three roles: Admin, Editor or Member. The role decides what they can change in the dashboard and which workspace emails they receive. Every role can open the inbox and listen to Voicegrams.

What each role can do

RoleCanCannot
AdminEverything, including billing and the plan, the team, API tokens, the workspace name and the Company Logo, and deleting the workspace.Leave the workspace, or be removed or given another role, while they are its only admin.
EditorManage Voicegrams, including deleting, tagging, archiving and sharing them. Create, edit, publish and delete widgets and campaigns. Claim or change the campaign subdomain. Change Global Configurations, including the Email/SMS Verification settings and the Default Campaign Logo. Manage webhooks and Google Reviews locations.Manage billing or the plan, the team, or API tokens. Change the workspace name or the Company Logo. Delete the workspace.
MemberView, listen to, download, share, tag, archive and delete Voicegrams. See the team list, without changing it.Change widgets, campaigns, Global Configurations, webhooks or Google Reviews locations, or anything else an editor cannot.

Editors can change how the logo appears in emails on Global Configurations, but only an admin can upload or remove the Company Logo itself.

Only admins can create API tokens. The Zapier, Make and n8n connections need one, so an editor or member who wants one of those connections asks an admin to set it up for the workspace. A token is not tied to the person who created it: it acts for the whole workspace, so treat it like a password and keep it with the admin who made it.

Invite someone

Only admins can invite people.

  1. Go to Settings, Team Members.
  2. Click Invite Members.
  3. Enter one or more email addresses, separated by commas, or upload a CSV file.
  4. Choose a role: Member (the default), Editor or Admin. Everyone in the same invitation gets the same role.
  5. Click Send Invitations.

Each person gets an email with a link to join. The invitation expires after 7 days.

Change someone's role

An admin changes a role on Settings, Team Members by picking a new one from the dropdown next to the person. An admin can also remove someone from the workspace on the same page. Nobody can change their own role.

Editors and members see the same list of people and their roles, without the controls.

Keep at least one admin

A workspace always has at least one admin. The only admin cannot be removed, cannot be given another role and cannot leave. To step down, make someone else an admin first.

Leave a workspace

Anyone can leave a workspace from Settings, Profile, Leave Workspace. Once you leave, you lose access to everything in it. An admin can leave only if the workspace has another admin.

Who gets which emails

  • New Voicegram emails go to whoever each widget or campaign is set to notify: All users (everyone in the workspace), Admins (admins only, not editors), or a Custom list of addresses.
  • Admins and editors get the warning that Voicegrams in the inbox are about to expire, the notice that a webhook was turned off after repeated failed deliveries, and the email that says the workspace's campaign subdomain is ready.
  • Admins only get billing, trial and usage emails, team emails (someone joined or left the workspace, or a member asked for a campaign subdomain), and API token reminders.
