When a contact form is still the right call

Keep the form when you need structured data you can sort. If your next step is a calendar slot, a shipping address, or a dropdown you filter on, a form field is the right tool and a voice note is not.

Keep the form for people who cannot speak freely. Someone browsing at work, on a quiet train, or with a hearing or speech difference needs to type. Neither of these should be the only way to reach you.

When a voice message wins

Use voice when the message is the lead. Nobody types out the constraint they are working around, the deadline they are working to, or the thing that went wrong last time. They will say all three in thirty seconds without being asked.

Use voice when the form is mostly spam. Every sender confirms an email address or a phone number before the microphone opens, so what lands in your inbox came from a person you can reply to.

Use voice when you are the bottleneck. A transcript and a short summary mean you can triage a queue on your phone between other things, and reply once with an actual answer instead of "what time works for a call?"
