Voice messages on your site vs a voicemail line
Voicemail already proves the point: people will say things out loud that they will never type. The problem is everything around it. They have to dial, you have to listen in order, and nothing is searchable afterwards.
Side by side
| What is being compared | With a voicemail line | With Voicegram |
|---|---|---|
| How they reach you | They have to stop what they are doing and dial. | They tap a button on the page they are already reading. |
| Catching up on messages | Play each one, in order, at real speed. | Skim a transcript and a summary. Play only what needs playing. |
| Who left it | A number, if it was not withheld. | A confirmed email address or phone number on every message. |
| Finding an old message | Scroll and hope you remember which one it was. | Search the text of every message inside your retention window. |
| Getting it to your team | Forward the whole mailbox, or nothing. | Send notifications to the right people, plus webhooks. |
| Robocalls | Constant, and they fill the same mailbox. | Verification runs before the microphone opens, so they never land. |
When a voicemail line is still the right call
Keep the phone line for anything urgent. If a customer needs you in the next hour, they should be able to ring you, and a website recorder is not a substitute for that.
Keep it for the callers who will never use a website. Some of your customers found you in a phone book and that is fine.
When a voice message wins
Use it when people are already on your site. The moment someone is reading your quote page is the moment they have a question. Asking them to stop, find a phone, and dial loses most of them.
Use it when you cannot pick up. A message left while you are up a ladder arrives as text you can skim between jobs, not as a queue you have to play in order.
Use it when you need the message later. Every voicegram keeps its audio, transcript, and summary together and stays searchable for the whole retention period on your plan.
